How we replaced a marina's paper contracts, mailed checks and spreadsheets with one operating system that runs the business, from signed contract to live boat tracking.
The Challenge
Every season, the marina mailed paper contracts to every customer by snail mail. Customers filled them in by hand and paid by check or cash. Staff opened envelopes, chased missing forms and matched payments to contracts one by one.
On average it took 3 to 4 months to get a season's contracts signed and paid. Pricing, mooring assignments and customer details lived in different places, so every change meant updating several records by hand.
The Solution
We built a custom operating system for the whole business, not just a payment form.
Online contracts. Customers choose their boat size, location and add-ons, see the price calculated live, sign and pay in one flow. Progress saves at every step.
Secure online payments. Card details are tokenized in the payment window and never touch our servers, so the marina stays out of PCI scope.
One pricing control panel. Staff change a price or availability once, and it updates the contract form and the accounting system automatically.
Mooring management. Staff assign and manage moorings in the same system that holds the contracts.
Customer email. Campaigns and updates go out straight from the system to the right customers.
Live fleet tracking. The marina sees the live location of its tender boats on a map.
The Result
A full season's contract payments now come in within days instead of 3 to 4 months. There are no paper contracts to mail, no checks to chase and no payments to match by hand.
The marina runs its day to day operations from one system: contracts, payments, moorings, customer email and its tender fleet.
